Situation in the industry
The elevator is an object of increased danger, therefore its maintenance and servicing should provide a high level of control of its technical condition. Operation and maintenance of any elevator is a sequence of organizational and technical measures that significantly affect the provision of safe conditions for using the elevator.
The solution of tasks on repair, maintenance, accounting of elevator facilities involves processing of a large amount of documentation and paper forms. Processing and accounting of such information often significantly increases the amount of involved resources of the enterprise or, and in conditions of resource constraints, reduces the quality of services provided.
Existing issues
To this day, in some
organizations, most of the necessary and constantly used documentation is processed only in paper form, which significantly reduces the speed of decision-making, the ability to analyze data, and calls into question the validity and reliability of information.
There are situations in which it is difficult to quickly respond to the failure of elevators, because of the increased time for decision-making, notification of responsible employees, the inability to quickly study the causes of similar failures, because there is no single database on all elevators and previous failures. Often, to collect data on the work performed during the period, on any failure, on responsible employees, on addresses, on customers requires an excessive amount of time to analyze and collect.
It becomes more difficult for management to monitor the progress of incoming elevator equipment repair and maintenance requests, staff utilization and resource planning.
With this approach, due to the human factor, the number of errors increases and, as a result, the efficiency of almost every employee and the entire organization as a whole is reduced.
Therefore, the elevator industry is in urgent need to introduce convenient and practical tools to optimize the work of dispatchers, elevators and administrative staff in order to improve the quality, speed and transparency of their work.
Digitalization for elevator operators
There are several information systems available for the digitalization of the elevator industry. Each of them automates a certain segment of business processes. I would like to touch upon one of the systems, namely AIS "Accounting of Lift Facility", it is developed on a common domestic platform "1C:Enterprise 8" and provides:
- Registration and control of execution of requests for emergency departure and maintenance of elevators;
- Storage of elevator specifications (type, model, control system, dates of shutdown/repair/replacement/modernization);
- Storing the characteristics of elevator structures and shafts;
- Storage of elevator maintenance information (contracts, maintenance inspections, scheduled and actual inspection dates);
- Warehouse accounting of materials and spare parts for elevator repair;
- Generation of reports on consumed materials with distribution of their cost by elevators;
- Generation of reports on the need for diagnostic maintenance, on UDF, on elevators assigned to employees and other reports;
- Use of specialized directories and classifiers to eliminate duplication of information input (types of inspections, repairs, crews, elevator shafts, technical characteristics, customers, addresses, users, etc.);
- Automatic data backup;
- Integration with the Dispatching complex "OBb";
- Integration with 1C:Accounting 8;
- Integration with 1C:Salary and Personnel Management;
- Notification of new applications via SMS and Email informing;
- Mobile application for mechanics. The system also includes a mobile application to increase the efficiency of the elevator mechanic's work. The dispatcher no longer needs to call the mechanic and dictate information on the address, entrance and the current situation. Once the dispatcher fills in the information in the accounting system, the request is automatically forwarded to the appropriate mechanic for subsequent execution.
After the mechanic has performed the work, the relevant information is sent to the dispatcher and management via the mobile app.

The use of these tools of business process automation allows to reduce the working time of employees and financial costs of the organization when solving everyday tasks.
